Operations Coordinators have an exciting role at iPic, as they are responsible for Human Resources, Finance and Operational Support duties. Successful individuals will be business organized, possess excellent verbal and written communication skills, capable of multi-tasking and meeting deadlines in a fast paced environment.

 

Operations Coordinators must meet the following requirements:

  • Administrative Human Resources experience including hiring, payroll, and employment compliance. Experience handling confidential information.
  • Outstanding analytical skills; ability to compile and analyze data, prepare reports, verify data and information.
  • Proficient with administrative tasks including supply orders, inventory reporting and invoice payments.
  • Experience with MS Office and basic accounting systems, including invoice payments.
  • Act as a liaison for Corporate HR, Finance, Construction, and other departments for special projects as assigned.

 

Human Resource duties include, but not limited to:

  • Responsible for I-9/E-verify processing.
  • Responsible for employee on-boarding, including processing all new hire. paperwork, conducting new hire orientations, and liaising with Home Office on other HR related tasks.
  • Responsible for site payroll processing, checking time cards and ensuring accuracy.

Finance duties include, but not limited to:

  • Responsible for weekly reporting including, petty cash and house account management.
  • Maintain up-to-date understanding of site budget for COGS, Labor %, Other Operating Expenses; oversee site compliance and elevate issues to site leader(s) or RDO as needed.
  • Responsible for researching and resolving in-house charge backs, refunds, and guest inquiries.

Operations Support duties include, but not limited to:

  • Monitor labor trends and bring substantial issues to site leader’s attention (overtime, work hours off schedule, etc.)
  • Oversee facilities management including maintenance and repairs, and other actions as approved by management. 

 

Experience & Qualifications:

  • Associate’s Degree required; Bachelor’s Degree preferred.
  • At least 3 years of experience in a similar position in an office, high volume restaurant or similar hospitality setting.
  • Solid knowledge of ADP payroll system and Vista time reporting.
  • Proficient in MS Office applications with advanced skills in Excel.
  • Must have excellent verbal and written communication skills.
  • Must be professional, trustworthy and display good judgment.
  • Ability to manage multiple priorities. Strong planning and organization skills.
  • Ability to meet short-term and long-term deadlines.
  • Strong analytical/research skills.
  • Demonstrate professional interpersonal communication skills.
