Administrative Assistant:

 

Administrative Assistants have an exciting role at iPic, as they are responsible for Guest Experience, People Development, Systems and Consistency across each area of restaurant, bar and kitchen operations. This position provides support to Operations Managers. Successful individuals will be business organized, possess excellent verbal and written communication skills, capable of multi-tasking and meeting deadlines in a fast paced environment. 

 

We are seeking an Administrative Assistant candidate with the following experience:

  • Experience in Payroll processing and various Human Resource Management Systems.
  • Advanced experience in time and attendance.
  • Experience in Human Resource related tasks including hiring, payroll, and employee compliance.
  • Assist Senior General Manager with in-house Team Member events.
  • Experience working with MS office programs is a must, including a high level of proficiency using MS Excel, Word and Outlook.

 

Key Accountabilities:

 

Administrative & Bookkeeping duties include:

  • Manage vendor invoices daily and keep inventory count on new items.
  • Responsible for weekly reporting in multiple systems, petty cash receipt tracking and management. 
  • Scan, sort, file documents and invoices (electronically and paper) for site records.
  • Assist in monitoring and ordering office supplies.
  • Responsible for handling, researching and following up with all in-house chargebacks.

 

Human Resource duties include:

  • Maintain HR files and related information with utmost confidentiality.
  • Responsible for I-9/E-verify processing.
  • Responsible for employee on-boarding, including processing all new hire paperwork, assisting new hire orientations, and liaising with Home Office on other HR related tasks.
  • Responsible for site payroll processing, checking time cards and ensuring accuracy.
  • Maintain applicable Federal, State, and local required postings up-to-date.
  • Review and submit site level Workman’s Comp cases and remain the point of contact throughout the process.

 

 

Experience & Qualifications:

 

  • Bachelor’s Degree preferred but not required.
  • At least 3 years of experience in a similar position. Experience in the hospitality industry and or office management capacity is preferred. 
  • Proficient in MS Office applications with advanced skills in Excel.
  • Ability to manage in-house training for iPic New Leaders.
  • Must have excellent verbal and written communication skills.
  • Must be punctual, dependable, and trustworthy.
  • Ability to multi-task proficiently – managing multiple priorities.
  • Strong planning and organization skills.
  • Ability to meet short-term and long-term deadlines.
  • Strong Analytical/research skills.
  • Demonstrate professional people/interpersonal skills.
  • Ability to streamline and improve processes.
